Podcast Policy
Ìð¹ÏÊÓƵ/TTP Podcast Guidelines
To start, ask, "Why am I starting a podcast?" Really think about your goal or purpose for your podcast.
Procedure for Requesting a Podcast:
Any requests for podcasts will require this , answering the items listed below in "essential items to consider" and receive approval of university name use from Communications and Marketing. Once the podcast application is reviewed and approved, the department or unit also will be informed.
- Equipment: Any podcast production equipment (microphones, suite for recording, editing software etc.) or needs will be provided by the podcast source. Will podcast be uploaded using university equipment? If you are using your personal digital recorder, how will files be exported to deliver quality audio?
- Storage: Where will recorded podcasts be stored?
- Archiving: Who will maintain the archive or backup of all files that were recorded and/or edited. Ìð¹ÏÊÓƵ/TTP does not archive or backup files.
- Production: Who will edit the podcast, book guest or handle the logistics
- Quality: Submitted podcasts of poor recording quality will not be approved. All podcasts branded as Ìð¹ÏÊÓƵ/TTP affiliated will have to meet required standards. (See example of approved podcast here)
- Audience: Proposed podcast audience should not be in direct competition with Communications and Marketing’s podcast, which offers health information and advice to a general audience.
- Promotion: How will you promote the podcast?
All podcasts using the Ìð¹ÏÊÓƵ/TTP name or branding must follow appropriate procedures
and guidelines for delivering quality (poor production or poorly produced) and meaningful
podcasts to external audiences.
Any podcast affiliated with Ìð¹ÏÊÓƵ/TTP should support the university’s mission.
Any Ìð¹ÏÊÓƵ/TTP podcasting resources cannot be used in a manner that violates the law,
for political campaigning, personal or private gain, slander or activities that are
not approved by the university.
The university reserves the right to decline or reject a podcast if the material is
of questionable taste or if the podcast does not further the mission of the university.
If the podcast is affiliated with Ìð¹ÏÊÓƵ/TTP, Communications and Marketing will serve a role in the approval process for each podcast. All podcasts also would require approval from the department or school liaison.
Accounts can be created, but the Ìð¹ÏÊÓƵ/TTP name or logo cannot be used unless it’s an official, Ìð¹ÏÊÓƵ/TTP run account.
Access to the podcast accounts: For example, with social media it is required that one of our social media coordinators be made an account administrator to prevent loss of access to the account if the current editor moves on and no longer maintains it.
All Ìð¹ÏÊÓƵ/TTP podcast artwork or branding must be approved by Communications and Marketing and meet the university’s brand guidelines and standards.
The Ìð¹ÏÊÓƵ podcast policy is for Ìð¹ÏÊÓƵ/TTP affiliated podcasts. If a podcast is not created through Ìð¹ÏÊÓƵ/TTP, guidelines must be followed to avoid the appearance of the university endorsing or supporting personal information and views.
- If expertise is tied to the university, the Ìð¹ÏÊÓƵ/TTP guidelines still apply
- Cannot refer to our institution or clinics
- Patient confidentiality still applies
- Photos of work environment may not be used
- Political endorsements or views may not tie to the university
Copyright and Releases:
While creating a podcast, please ensure that all necessary rights and permissions have been obtained for the material (including music) you plan to include in your podcast. Permission from the source to include the material in your podcast will be required.
If a podcast involves recording Ìð¹ÏÊÓƵ students or experts or guest lecturers, the administrative contact will need to have their interviewee(s) sign a consent release form.
