International Agreement Procedure
The procedure for creating a collaborative agreement with a university or institution abroad for student exchange and faculty exchange is outlined below. For more information about current sites, visit our website. For a quick overview of the steps, please see the PDF linked here.
Exploration and Consultation
Each agreement requires a Ìð¹ÏÊÓƵ faculty champion. The faculty champion is responsible for maintaining contact with the collaborating institution and overseeing collaborative activities. During the beginning stage of the agreement process, the faculty champion will identify the opportunities that exist, including interprofessional opportunities; the interest of both parties; and any constraints that would determine the capability, suitability, and sustainability of the potential host site.
To begin the process of establishing an agreement, the faculty champion must consult with the Office of Global Health. This meeting is intended to discuss projects and initiatives, identify potential hurdles and challenges, as well as ensure the addition of a new agreement will support Ìð¹ÏÊÓƵ's goal of sustainability of international program sites.
After consulting with the Office of Global Health (OGH), the faculty champion must submit an International Collaboration Worksheet to OGH. The Worksheet will be reviewed by OGH prior to routing for additional review and approval at both the school level and institutional level.
Routing and Approval
Step 4: School Level Approval
The faculty champion will forward the completed Worksheet to his/her school's Global Health Steering Committee. A meeting will be arranged with Steering Committee members and the faculty champion to discuss feasibility and potential impacts on international initiatives and projects currently sponsored by the school.
If approved by the Global Health Steering Committee, the Worksheet will be forwarded to the appropriate dean for review and approval.
Step 5: Institutional Level Review
All requests for international agreements are reviewed by the Ìð¹ÏÊÓƵ International Affairs Council (IAC). IAC approval is necessary to support Ìð¹ÏÊÓƵ's goal of interprofessionalism. During the review process, the IAC may request a meeting with the faculty champion to discuss the proposal in greater detail and to ask questions around the development of interprofessional opportunities.
Negotiation and Consensus
Step 6: Letter of Intent
If the request is approved, the Office of Global Health will send the Letter of Intent template to the collaborating institution for review. The collaborating institution will review the template and provide Ìð¹ÏÊÓƵ with any additional information necessary to complete the template document (e.g., official name, acronym, complete names and titles of the institution's official signatories). Please note that the template should not be signed.
Once the collaborating institution approves the template, the Office of Global Health will prepare an original Letter of Intent for signatures of both parties.
The Office of Global Health will send the Letter of Intent by email to the collaborating institution for signatures. After the collaborating institution has signed, the Letter of Intent should be returned to the Office of Global Health who will route the document for the appropriate Ìð¹ÏÊÓƵ signatures. An executed copy with all signatures will be emailed to the collaborating institution upon completion.
Step 7: Program Agreement
After a Letter of Intent is executed, it will serve as the umbrella document for future collaborative activities between Ìð¹ÏÊÓƵ and the collaborating institution. As specific projects or programs for individual schools are developed, separate Program Agreements will be required. Ìð¹ÏÊÓƵ and the collaborating institution must agree on all terms for the Program Agreement, including each party's rights and responsibilities.
Once the Program Agreement has been finalized and approved by the appropriate Ìð¹ÏÊÓƵ and collaborating institution authorities, the Office of Global Health will prepare a Program Agreement for the parties' signatures. This step includes reviewing draft documents, making changes as necessary, and routing the Program Agreement through the Ìð¹ÏÊÓƵ contracting system.
International Program Worksheet
Per the Program Agreement, each student exchange will require an International Program Worksheet. The International Program Worksheet will outline the details of each exchange to ensure students are aware of duties and responsibilities. Interested students should contact the Office of Global for the International Program Worksheet and additional applicable documents.
Step 8: Review and Renewal
To renew an agreement at the end of its term, the faculty champion must submit a new International Collaboration Worksheet. Any changes or new developments in the collaboration must be noted on the Worksheet. The process for renewal follows the same procedure as that for establishing a new agreement.
Strategic Plan
After demonstrated success and sustainability of the international program site, the faculty champion will be required to submit a strategic plan for the site to the Office of Global Health. The Office of Global Health will contact the faculty champion with the necessary templates to be used for development of the strategic plan.
